1. Course Scheduling Process
Overview: The scheduling process runs from initial contact with your Division Administrator through to a finalized schedule. Follow the steps below and adhere to all deadlines to ensure a smooth process.
- Initial Contact: Your Division Administrator (DA) confirms your teaching assignment.
- Preference Form: OARR sends a Course Scheduling Preference Form. Provide flexible preferences and note any constraints.
- Form Submission: Submit the form to OARR by the specified deadline.
- Final Confirmation: OARR provides your final course schedule.
- Review Period: Review your schedule and report any needed changes within five business days.
- Schedule Finalization: The schedule is finalized after the review period ends.
Note: Contact your Divisional Administrator or OARR with any questions at any step in this process.
2. Room Assignments
Rooms are assigned based on class size and scheduling demand. If your time slot has lower demand, there may be some flexibility — but preferred rooms cannot be guaranteed. To request a room change, contact OARR.
3. Breakout and Study Room Requests
Note: Submit requests early — space is in high demand. Please request only what you actually need and do not over-request rooms you won't use.
- Step 1 — Review your course schedule: Ensure your schedule is finalized before submitting a request.
- Step 2 — Draft your request email with the following information:
- Course name and number
- Preferred dates and times
- Number of rooms required
- Expected student count
- Step 3 — Submit your request: Email OARR and CC your Division Administrator. Use the subject line: "Breakout/Study Room Request for [Course Name]"
- Step 4 — Await confirmation: OARR will review and respond.
- Follow-up: If you have not received a response within one week, follow up with OARR or your Division Administrator.
